Priced per mailbox, deployed at the MX record

Every email security product is bought the same way and deployed the same way: a per-mailbox subscription in bands, and a change to where mail is delivered. The commercial side is straightforward once the mailbox count is honest — and it rarely is, because shared mailboxes, distribution lists, service accounts and departed staff all sit in the directory looking like licensable users. The deployment side is a scheduled change to MX records or connector configuration, with a fallback plan, run inside a window your mail team controls. We quote the license against a reconciled count and coordinate the cutover; we do not ask for administrative credentials to your tenant, and we do not operate the filter afterwards.

The moving parts

What a mail-security line actually covers

The base subscription buys inbound filtering — spam, malware, and the reputation and sandboxing layers that sit behind them. Above that sit the tiers that agencies most often need separately: URL rewriting and time-of-click protection, attachment detonation, impersonation and business-email-compromise controls keyed to your executive list, outbound data controls, and encryption for messages that must leave the boundary protected. Phishing simulation is usually its own SKU again, and so is the archive.

Deployment is either a cloud gateway in front of your tenant, changed at the MX record, or a connector-based integration that inspects mail after delivery. The first is a cleaner boundary and a harder cutover; the second is faster to stand up and leaves the tenant as the front door. Which one suits you is a design decision that depends on your mail platform, not a product ranking — and it changes the license you buy, so it is worth settling before the quote.

Subscriptions are sourced through authorized US distribution rather than held on a shelf, so stock language does not apply to them; what matters is the term, the seat band and the co-termination date.

Limits

What stays with your mail team

We do not administer your mail tenant, run your quarantine, release messages, or answer the ticket when a partner's invoice is held. Those are operational duties inside your organization, and handing them to a supplier would mean handing over the credentials to your mail platform — which we neither want nor ask for.

We also do not name platforms we cannot genuinely source. Several well-known mail-security vendors have no priced inventory in our catalog at all; where your standard is one of those, we will say so and quote what we can actually deliver rather than steering the requirement toward our shelf.

Do we still need a gateway if we are on Microsoft 365?

That is a design decision, not a product argument. The built-in protection has improved considerably; the case for a dedicated layer is usually made on specific controls — impersonation defense keyed to your executive list, time-of-click URL rewriting, outbound encryption, or an independent quarantine outside the tenant. We quote both paths and let your mail team weigh them.

How is email security licensed?

Per mailbox per year, banded by volume, with government and academic price levels on many lines. The count that matters is licensable mailboxes rather than directory objects, so shared mailboxes, aliases and service accounts should be reconciled before the quote. Extra tiers — phishing simulation, archiving, encryption — are usually separate SKUs.

Who performs the MX cutover?

Your mail administrator makes the change; we coordinate the sequence, the timing and the rollback point, and make sure the license and any appliance are in place before the window opens. We do not require administrative access to your tenant to do that.

Can phishing simulation be included?

Where the platform offers it, yes — it is quoted as its own SKU, usually per user per year. What we supply is the license; designing the campaign, choosing the templates and handling the results are part of your awareness program, which is a separate discipline from filtering.
