Coverage does not usually fail; the calendar does

The most common way a security control stops working has nothing to do with the technology. A subscription reaches its anniversary during a budget freeze, or the person who tracked it left, or the purchase order takes three weeks and the term took none. The signatures stop updating, the console shows a grace period nobody reads, and the control degrades quietly into a license-expired banner. Preventing that is administrative work: knowing every expiry date across every vendor, reconciling the seats you are actually using against the seats you are licensed for, and putting a quote in front of the budget holder early enough that the paperwork can finish before the clock does. What a renewal is and is not

A renewal keeps an entitlement live. It does not verify that the product is deployed, configured correctly or doing anything useful — a fully licensed console with agents on a third of the estate renews exactly as cleanly as one with full coverage. Where a renewal is the moment to reconsider the platform rather than extend it, we will price both paths rather than quietly quoting the incumbent.

Entitlements stay in your organization's name. We are the reseller of record for the transaction, not the owner of the license, and the relationship with the publisher is yours — which is what makes changing supplier at recompete a commercial decision rather than a migration.

How far ahead should a renewal be quoted?

Far enough that the purchase order can complete before the term ends — in public-sector procurement that is usually sixty to ninety days, and longer across a fiscal year boundary. Working backwards from the expiry date rather than forwards from a reminder email is what keeps coverage continuous.

What is a true-up?

A reconciliation between the seats or assets you are licensed for and the number you are actually using. Estates grow quietly, and the gap surfaces either at renewal or at a vendor audit. Finding it at renewal is cheaper and considerably less unpleasant, which is why we reconcile the count before quoting.

Can subscriptions from different vendors be co-termed?

Often, and it is worth doing. Aligning anniversaries turns several small renewal events into one budget conversation and reduces the chance any single one is missed. Vendors differ on whether a partial term is available and how it is priced, so we quote the aligned and unaligned options side by side.

What happens if a subscription has already lapsed?

Most vendors allow reinstatement, sometimes with back-dated coverage or a reinstatement charge, and some require a new term instead. The answer is vendor-specific and we will tell you which case you are in rather than quoting a fresh term by default.

Do you hold our licenses?

No. Entitlements are issued in your organization's name with us as reseller of record. That keeps the publisher relationship yours and means changing supplier is a commercial decision, not a technical migration.
